ON CONFERENCES AND MEETINGS

The four reasons why there are numerous conferences and meetings being conducted especially for routine activities or annual events. 

1. LACK OF SYSTEM AND POLICY


There are conferences and meetings that are only wasting resources especially time. Routine activities should not be an agenda for any conference. CHECKLISTS are enough to run the routine activities successfully. Conferences and meetings should be conducted to create new policies, evaluate existing systems and address requirements of activities being conducted for the very first time. MASTER SCHEDULE, CHECKLIST and establishment of COMPREHENSIVE POLICIES will eliminate unnecessary conferences.

2. LACK OF DOCUMENTATION


Documentation of lessons learned is usually not being done. Filing system is very important to improve the existing system. The lessons learned should be used to amend the existing policies and to improve the MASTER SCHEDULE and the CHECKLISTS. In this way, long conferences repeating things every time the activity is to be conducted can be avoided. Historical data should be compiled in a COMPREHENSIVE FOLDER for every activity. The next conduct of the activity will just be a walk in the park. Open the FOLDER and follow the successful footsteps of the previous activities.



3. NOT FOCUS ON POLICY MAKING


Offices that are intended to establish or review policies are not doing their job. They are busy doing other things which are not related to policy-making. The basis of everything we do in the organizations are doctrines or written policies. If we do not have sound doctrines and comprehensive policies, we will continue to conduct conferences and meetings talking about every detail every time an activity is to be conducted. And for sure, same mistake will come out especially if the designated personnel is newly assigned. Establishment of doctrines and policies will avoid conferences. It will also address the problems of yesterday for better today. It will address the problems of today for better tomorrow. So, if your office has the main mandate related to policy-making, concentrate on that aspect. FOCUS ON YOUR CORE FUNCTION!

4. REACTIVE RATHER THAN PROACTIVE

Conferences and meetings are usually done to react to problems that arise from a just concluded activity. But if we have MASTER SCHEDULE and CHECKLISTS for every activity that are being improve in reference to the previous conduct of the activity, then problems will be avoided. Let us be PROACTIVE to avoid wastage of resources and to eliminate problems in the conduct of the activity. PLAN AHEAD, PREPARE ACCORDINGLY, PERFECTLY IMPLEMENT and RECORD THE THINGS NEEDED TO BE IMPROVED. HAVE A YEAR-ROUND COMPREHENSIVE MASTER SCHEDULE!
